Es gibt sieben Informationsbereiche für jeden Artikel. The general information is for your own entry of your articles in the program - the fields are self-explanatory. The item number is especially important here. A new article number is automatically suggested by the program, but you can also enter your own number.
You should also enter a liter and a weight for your article. You need the liter specification if the article is to be offered for sale at [[Winestro]] or in your [[Private Shop|Privatshop]].
Entering the weight will help you later to create accurate loading lists.
=== Grower info ===
The "Producer" menu suggests only "Self-produced" by default. If you sell products that you did not produce yourself, you should create a new [[New Customer|Customer]] beforehand and tick "Producer" when you create it. From now on, this producer will be available for selection as a producer in the drop-down menu.
=== Link to predecessor articles ===
The "Predecessor article" menu has a special meaning. Let's say you create a new article B. The predecessor article is article A. A customer now has an order with a special price for the out of stock article A and now orders article B. Weinbau-online now suggests the special price of article A, if you have not yet assigned a new special price or list price for article B and this customer. This way you can easily remember special conditions. You will be informed about this process with a small note when adding the article to an order.
This point should not be misunderstood as: "Copy all info from an old article to this new one". To do this, use the "Copy article" function in the article view (where you also assign the prices) of the article to be copied.

==Copy function==

To copy an article go to the tab of the article you want to copy. There you will find in the button bar the icon to copy the article "Use this article as a template for a new article ". As soon as you click on this button, you will get to the mask for creating an article - but this mask is already filled with all the values of the previous article. You can now change the values as you wish. In addition, you can choose four other options when copying (see picture):

Copy prices and other settings of the copied article
and the prices of all price lists, and the data to discount lock, discount_sperre, dispatch liberty, liter price, bottle computation, fast cash, preferential camp, total stock warning, commission lock, champagne tax and VAT are also taken over.

==Article assortments ==

You can create article assortments in Weinbau-online (e.g. a tasting set), which consists of different
individual articles. To create a new article assortment in the program, you create as described above
[[Create a new article#Input mask for new articles| create a new article]] and name your assortment e.g. spring package. Confirm the check mark ''"This article is to be treated as an assortment"'' and click save.
=== Enter proportionate wines ===
You will be redirected to the article card (see below) after creating the article. Here you will find the following additional option for assortments.
First determine which article is to be included in the assortment. To do this, select the desired article from the selection field. Next, in the "Quantity" field, specify the number of this article to be included in the assortment and in the "%" field, specify the percentage of the sales price of this assortment to be charged for the respective article. Then click on "add".

=== Fractional assortments / mother articles ===
Also "glasses" can be mapped as a fractional assortment. Here only the allocation must be adapted. For this purpose, store the share that a glass makes up in your bottle plus a factor for the correction. Of course you must control here regularly the stocks, since this agrees mostly rarely with the Realtität.
=== Handling and stock reduction ===
You can then insert the assortment in the orders like a normal article and sell it. When selling an assortment, the articles contained in it will be reduced in stock accordingly and it will be noted where they were delivered to.
The assortment article itself is also reduced in inventory when it is sold.
So you can either allow overbooking via the basic settings and this article goes into minus, or you can post a fictitious stock to the assortment. This also keeps your sales statistics intact ("Is it worth selling this item as a bundle?").
However, working with actual stocks may also make sense here: For example, when selling a seasonally assembled spring basket in the program, you can see early on whether you need to send the intern back to the warehouse to assemble a few new baskets and prepare them for sale ;-)
== Frequently asked questions and problems ==
=== Can I convert an item to an assortment afterwards? ===
Because there can be problems in the statistics and on receipts if you mix assortments and normal articles, an article cannot be converted to an assortment or vice versa afterwards.
In this case, please create the article "assortment article" anew and mark the old article as out of stock.
Of course, this does not apply to the individual articles. Of course you don't have to create normal articles you want to add to an assortment again to add them to an assortment.
=== Number of bottles is not included in loading lists ===
This happens when you accidentally create a normal article as an assortment. At first glance, this is not noticeable. The assortment has a normal stock and can be sold normally.
However, on loading lists (and when specifying the number of bottles), the system always calculates with the bottles contained in the assortment - in this case then 0 bottles and 0 KG. Accordingly, the loading lists no longer fit.
To the solution:
1. change the article number of the article (which is erroneously an assortment).
Create a new article (not an assortment) with the old article number. 3.
3. transfer the stock of the old article to the new article with an appropriate comment.
4. set the stock of the old article to 0.
Existing orders and invoices do not change. Therefore, the problem remains for them - however, everything is now correct for new orders and invoices.
=== Delete assortments ===
Assortments cannot be deleted once they have been used on an invoice. If you want to "get rid of an assortment" just mark it as out of stock and create a new item.
=== Adding articles to assortment afterwards ===
To do this, open the article tab of the article you created as an assortment (the icon with the magnifying glass symbol). You are then in the tab "Data". Then scroll down a bit until you reach the "Articles in this assortment" section. There you can add more items to the assortment as well as edit already existing items by clicking on the pencil icon. Always make sure that you also adjust the "Quantity" and "Sales %" fields accordingly.
=== Multiple fillings or AP / Same wine===
A new filling has a new AP number. For each AP number you must be able to prove without gaps where these bottles have ended up. Therefore a new article is necessary to separate the different fillings cleanly in the tracing.
Your customer is now very little interested in which filling of the wine he has now received. On the contrary, this can rather lead to confusion, queries and thus workload. Therefore, we have integrated the possibility that 2 articles can look exactly the same to the customer, but internally they are perfectly separable for you. This task is done by a "+".
Example: The article number 14 is filled twice. Filling 1 would be 14+1, filling 2 would be 14+2. Internally, everything is now neatly deducted from the correct wine / warehouse, but externally the customer always sees only article number 14 on receipts.
  You can also use this system to keep the article numbers constant.
  E.G. 10+2020 | 10+2021 ...
In the statistics the different fillings are nevertheless treated like individual articles and can be evaluated individually.
When filling the master data, the "Copy article" function can be useful. To do this, simply click on the corresponding icon in the article view in the original wine.

You can enter the price after entering the new article. You will automatically be notified that the price is missing.
