General information

You can access the sales stocks via Articles - Stocks - stocks. You will now see all current sales stocks, as well as the overview of the respective stocks according to Warehouse. The current stock is calculated from the initial stock minus or plus transactions (for more information on the calculation, see below). You can adjust the circumstances under which stock changes in the Free stock settings. The stocks of all items are displayed. All articles that represent bottled wines must be marked as such in the Article index card by ticking the box “Include number of bottles in calculation”. In this context, it is also advisable to manage all bottled wines in a common product group - this way you have managed all stocks, but also your correct bottle book in the evaluation and output of stock lists (see below).

Inventory management

In the list of sales inventories, you can view the inventory management, among other things. By clicking on the icon next to each item, you can access the overview of all stock changes or the booking list for this item (see screenshots on the right).

Inventory management gives you information about the respective stock levels, movements (fillings, orders, etc.), a summary of manual processes, as well as the documentation of reservations and blockings.

Use the magnifying glass on the right above the inventory management to quickly access the item index to make adjustments. Using the document next to it, you have the option of displaying detailed transaction lists according to various criteria.

Stock changes through documents

With Winestro.Cloud, depending on your Free stock settings, the items are removed from the free stock when they are inserted into an order or only when the invoice is created. In the second case, stock is only adjusted when a corresponding Document for this order is created. The changes are documented in the stock and transaction lists.

Invoices

The items contained in the current Invoice are automatically deducted from the stock in the booking list. Your bottle book is therefore always up to date.

Credit notes

Creating a credit memo can also have an effect on stock levels. How this works, read here.

Cancellation documents

Cancellation documents are added negatively to your stock. In contrast to credit notes, there is no debit and credit entry here, but rather a zeroing of the ordered items. You can find out more about cancelations here.

Stock reservations

The stock lists also show existing reservations and blocked stock. The available stock is calculated from the actual stock, the reserved stock and the blocked stock. Reserved stock is displayed in the stock overview and in the individual bottle books, while blocked stock is only displayed directly in the bottle book of an item. Overbooking stock

Under System - Settings - Invoices you can specify in the Inventory monitoring whether your inventory may generally be overbooked (into the minus). However, you can also specify that your total stock, or the stock of each individual warehouse, may not be overbooked. If you generally prevent overbooking, you can still specify in individual items that they may be overbooked in the unrestricted stock or total stock. To do this, simply edit the item tab using the pencil icon and select the desired option in the top right block Other. You can also make these settings in batches for several items using the Item selection.

Changes can also be made manually in the item tab at the bottom left or in the stock and transaction lists. Simply select a corresponding account (e.g. “Breakage”), enter a reason and click on “Add” or “Remove” (i.e. click on either the + or - button). In this way, you can also document a so-called “voucherless sale”. At the bottom left you will find an overview of manual transactions, which you can also delete if necessary . Frequently asked questions

Outgoing stock in the official registration

In official registration, stock can only ever be booked in or out with a reason and date. Make a manual stock change accordingly via the item tab (bottom left) or via Items / Stocks. In this case, enter this as a receipt. Of course, the item must be created first.

A different stock is displayed in the item index than in the stock overview, why?

In the item index, you receive the stock without a specific reference date - i.e. with absolutely all invoices and movements that are entered in the system. The stock list always has a reference date - which is absolutely necessary so that this list can also help you. Differences between these two places always arise if you have invoices in the system that are dated after the date of the stock list. You usually come to this article if you have pre-dated an invoice in the morning, for example. If, for example, 100 bottles are sold on this invoice, this issue is taken into account in the item index card (to give you an overall view) and not yet in the stock list for “today”. This is why the lists then differ by exactly these 100 bottles. As soon as you set a date after the last invoice in the stock list, both entries are always the same again.
