On the start page, in the customer file, as well as in the Edit view of each order under the Documents tab. (only users with Scope > Team Parcel) you can create parcel labels of our parcel service providers (DPD, DHL and UPS). These are automatically provided with the recipient's data. We offer this service together with our partner, shipcloud GmbH. Nevertheless, we are your direct contact partner, unless otherwise stated in this manual.

Terms and conditions of the service providers

By participating in the parcel label service, you agree to the terms and conditions of transport of the respective service providers used. You are obliged to inform yourself about changes and adjustments and to comply with the packing and transport conditions. Rejections, returns or misdeliveries as well as additional costs arising from a breach of the transport conditions will not be reimbursed either by the service providers or by Weinbau-online.de:

Procedure for participating in the parcel stamp service

Login to Shipcloud

It's not far to cheap parcel stamps. Please go through the following points:

1. enter under System - Account your billing address, as well as your bank details correctly. The parcel stamps will be invoiced on the 1st of the following month and conveniently collected by direct debit. If a certain invoice amount is exceeded, the settlement of the parcel stamps will also take place on the 15th of each month.

2. Attention! Only if no real customer & order data have been entered in the system yet! Reset the system to factory settings under System - Backup to delete all sample data.

2. enter in Weinbau-online, under System - Documents - General, at least the following data about your business:

  • Your address incl. company name and contact person.
  • Your e-mail address
  • Your telephone number

These contact details will be sent by us to shipcloud so that you can be activated in their system. Other data such as your bank details will not be transferred to shipcloud.

3. request a callback by e-mail or via Help - Write ticket to be activated for the package marker service. Users of our viticulture software (Scope > Team Package) are automatically activated after the 2nd month of use. This is purely a formality to establish that you are a real person and to prevent misuse. We will usually get back to you directly.

4. trigger your registration with our employee on the phone. Users of our viticulture software (Scope > Team Package) can trigger this registration at any time in any order under Documents - Package Tags (see image "Registration with Shipcloud"). Now it's time to wait and see.

5. After you have successfully participated in the included parcel stamp training - in which you will be shown the tips and tricks of the parcel stamps by expert personnel via a live video training - we will activate you so that you can use our favourable conditions with UPS and DHL from this point on.

Please note: Due to the waiting times at DPD, you can only use the conditions of DPD after approx. 14 days. 
You don't need to ask us about DPD, we will contact you automatically by e-mail as soon as the activation is completed.

Billing for the stamps used takes place solely via your Weinbau-online account. You will always find a list of shipments in Excel and your monthly statement (also retrospectively) in the programme under Account - Invoice.

Own DHL contract

It is possible to combine your own DHL conditions with our parcel stamp service. I.e. if you have your own DHL contract, you can use this in combination with our conditions (UPS and DPD) without the need for your own SC account. In order for you to be activated for this, please register with us in the forum and we will then contact you by e-mail so that you can send us the required data. The following data is required for activation:

  • Your access data for the DHL business customer portal.
We recommend that you create a new "system user" in the DHL business customer portal under the menu item "Manage users". The system user only has to change the password once a year, but all other users are prompted to do so more frequently, which can lead to problems in the shipping process.
  • the DHL billing number
  • the access data for DHL Track&Trace (important, as otherwise no status changes can be made available in the shipment tracking system)

This is a zt identifier and the corresponding password. The zt identifier always starts with "zt" followed by 6 digits, e.g. zt123456. If you do not yet have access data for DHL Track&Trace, you can request this from your DHL contact. When applying, please explicitly refer to the activation for "DASS (Direktaufrufschnittstelle)".

⇒ Please note that the price query is not possible here.
⇒ The billing of the parcel stamps runs directly via DHL. We charge a surcharge of 0,20€ per stamp created.
⇒ The cancellation arrangements you have made with DHL apply.
⇒ The damage handling is always carried out by DHL directly with the contractual partner, i.e. you.
Collection: For this, it is necessary that you contact DHL directly and make a collection arrangement. Depending on the arrangement made for collections, the winegrower must register the collections with DHL or a standard collection has been agreed between the two.

Costs for participation in the parcel stamp service

The interface to Shipcloud is included free of charge in all Weinbau-online packages. After activation, you only pay the parcel prices (and any additional charges due to bulky goods, extra weight > 32kg, address corrections, returns due to incorrect address, foreign shipping, tolls, security charges. You can find more information under Billing information. Please read urgently before making a complaint).

Minimum monthly purchase

The only exception to this concerns customers who create less than 2 parcel stamps in a month from 3 months after registration. Since the creation of new accounts represents an expense on the part of our cooperation partners and we have ongoing costs per account, there is a monthly minimum purchase of € 10 or 2 parcel labels from this point on. All customers who have not created at least 2 parcel labels in one month will automatically be charged the minimum purchase amount of €10 net.

If you still have old tokens and want to use them up first, you can do so conveniently: you only need to create 2 of the required tokens per month via Weinbau-online so that your interface remains free of charge. Even if you have miscalculated and do not want to use our service after all: At least let us know via help ticket or e-mail! We can cancel the service for you at any time (even temporarily and already after participation in the connection service, see below). Only then will there be no costs for you if you do not create any marks! Re-registration is possible at any time.

Connection service

The connection service by our team includes the basic settings of your shipping management according to your wishes (keyword branding and tracking emails) and a 20-40 minute intensive training on the use and creation of the parcel labels. Find out more under Shipcloud settings. The connection service costs 75 euros once if you take part in a group training, or 150 euros if you want to receive individual training 1 to 1.

Important note: Participation in the training is compulsory, so that all participants of the parcel stamp service 
start with the same level of knowledge and to keep our support costs in this area as low as possible, 
so that we can continue to offer the interface without a basic monthly fee.

Accounting of the ordered stamps

You can create each stamp at favourable wholesale options. The billing of your created parcel stamps takes place automatically via your Weinbau-online account directly at the end of the month, a bank transfer is not necessary. Unfortunately, depending on the carrier, there are generally many reasons for subsequent charges, which, by the way, are usually also shown on a later invoice than the costs of the original brand, making it more difficult to follow up.

For price calculation, please use the Price request in the mask for creating the marks!

Recalculations

Please note that in some cases there may be additional charges from the parcel service provider, e.g. if the parcel was heavier than you indicated when creating the stamp. In addition, it is possible that the recipient himself/herself has requested a change of address / redelivery or similar from UPS, which will then be charged to the sender retrospectively. These items are listed under the heading Subsequent settlement of differences....
If you have any questions about individual items, please be sure to read our Notes on billing beforehand.

In any case, we will bill you for the actual costs incurred, 
thus passing on the items already charged to us by the service provider 1 to 1.

Express shipping

Express shipping is possible with our UPS and DPD conditions. With DPD, express shipping only works within Germany, but with UPS it also works in Europe. The express prices are higher than the basic price. Please use the price request in the programme before creating the stamp.

Express Options UPS

  • Express Saver: Delivery takes place the next day
  • Express 12:00: Delivery takes place the next day in the morning
  • Express 1 Day early: Delivery takes place the next day by 10:30 a.m.

Express Options DPD

With DPD you can select Express 1 Day early (next day by 10:00).

Note: "Next day" always refers to the next following working day (Mon-Fri). If a parcel is only collected on Friday, it will not be delivered until the following Monday. Delivery on Saturday is not possible within the scope of our conditions.

International shipping

Unfortunately, it is not possible for us to maintain all international prices for all 3 carriers, all countries and all shipping options (express, return etc.) in a sustainable and clear manner. This would be a disproportionate effort. Therefore, in the first step, the domestic normal price is calculated and then (i.e. quite possibly in a later monthly statement) the difference to the actual price. For calculation purposes, use the price enquiry in the programme before creating the mark. Please note that you may incur additional costs, especially for shipping abroad, and that a correct address is essential for successful delivery.
